A simple, step-by-step guide to help DSWD social workers and interviewers use the Project Aruga profiling system with ease and confidence.

1. Getting Started

Before you begin conducting home visits and profiling beneficiaries, make sure you have the following ready:

Your Interviewer Code

This is the 8-character code assigned to you by your supervisor. You will need this every time you log in. It looks like this: AB12CD34

A Device with Internet Connection

The system works on smartphones, tablets, and computers. Use a modern browser like Google Chrome or Microsoft Edge for the best experience.

The Beneficiary's Information

Have the household's 4Ps ID ready (if applicable), along with the child's personal details, health records, and family information.

Good to know: The system is designed for one beneficiary per session. After submitting, you can start a new session for the next beneficiary.

2. How to Log In

Follow these simple steps to access the profiling tool:

Open the Project Aruga website

Visit the system on your browser. You will see the login page with a Data Privacy Agreement on the right side.

Read and accept the Data Privacy Agreement

Scroll through the agreement text, then check the box that says "I accept the Data Privacy terms and conditions for data processing." This is required before you can proceed.

Enter your Interviewer Code

Type your 8-character code in the field labeled Interviewer Code. The code will appear in uppercase automatically.

Click "Submit and Proceed"

The system will verify your code. If correct, you will be taken directly to the profiling tool. If you see an error, double-check your code and try again.

Important: Do not share your Interviewer Code with anyone. Each code is linked to your account and all submitted records will be tagged under your name.

3. Filling Out the Profiling Form

The profiling form is divided into 10 steps. You must complete each step before moving to the next. Here is what each step covers:

Use the Next button at the bottom of each step to go forward, and the Back button to return to the previous step.

Pre-Qualification

This step asks if the beneficiary is a member of the 4Ps program. If yes, you will need to enter their 18-digit Household ID (found on their 4Ps ID card). If no, just select "No" and continue.

Respondent Profile

Enter the details of the person you are interviewing, usually a parent or guardian of the child. Fill in their name, relationship to the child, email address, and contact number.

Child Profile

This is the most detailed step. You will enter the child's complete name, home address (region down to barangay), date of birth, religion, IP group membership, educational level, disabilities, and any critical illnesses. Take your time to fill this in accurately.

Family Profile

List all the people living in the household, starting with the head of the family. For each person, fill in their name, age, sex, civil status, occupation, and any disabilities or illnesses. Click "Add Another Family Member" to add more.

Socio Economic

Describe the family's living situation including what the house is made of, whether they own or rent, their source of electricity and water, toilet facilities, and how they dispose of garbage. If you select "Others" for any item, a text box will appear for you to specify.

Health

Answer questions about the child's health including vaccinations, ongoing conditions, and monthly health expenses (food, medicine, therapy, etc.). You will also note whether the child has been able to visit health facilities recently and if there are any barriers to getting care.

Education

Indicate whether the child is currently enrolled in school and what grade or year level. If not enrolled, explain why. If enrolled, answer whether the school has accessibility features, special education programs, and if the child receives any learning support.

Economic Capacity

Enter the family's approximate monthly income and its source. The system will automatically classify the family's income level. Also indicate whether the parents or guardians are employed or running a small business.

Service Availment

Record whether the family currently receives financial assistance, if they are aware of available social services, and which services they have already used. Also identify any challenges they face in accessing those services.

Assessment Notes

This is where you write your professional observations. Fill in the child and family's Strengths, your overall Assessment, and your Recommended Actions. Finally, select a Readiness Score from the four options. This tells us how urgently the family needs intervention.

Validation: If you miss a required field, the system will highlight it in red and show a message telling you what to fill in. Fix all errors before moving to the next step.

4. Reviewing & Submitting the Assessment

After completing all 10 steps, you will be taken to the Review Page. This shows a full summary of everything you have entered. Take a moment to read through it carefully.

Check the Summary

Scroll through the review page and make sure all the information is correct including names, dates, answers to questions, and your assessment notes.

Go Back if Needed

If you notice a mistake, click "Edit Forms" to go back and make corrections. You can return to the review page by completing the step again.

Click "Submit Assessment"

Once you are satisfied, click the blue "Submit Assessment" button. The system will save the record and take you to the Success page.

Once submitted, you cannot edit the record. Please double-check all information on the review page before clicking Submit.

5. The Aruga ID & QR Code

After a successful submission, the system will generate a unique Aruga ID and a QR Code for the beneficiary. This serves as their official digital record in the Project Aruga system.

Print the QR Code

Click the "Print QR Code" button to print it directly. Give the printout to the beneficiary's family for safekeeping.

download

Save a Digital Copy

Click "Save Digital Copy" to download the QR code as an image file. This can be sent to the family via messaging apps.

How the QR Code is Used

When the QR code is scanned, it opens the beneficiary's verified profile page showing their Aruga ID and registration date. This can be used for future benefit claims and transactions within the system.

New Beneficiary: Once done, click "New Beneficiary" on the success page to start a fresh session for the next family on your list.

6. Tips & Common Questions

help What is the session timer for?

The timer on the profiling page shows how long you have been in the current session. It is there as a guide to help you keep track of your time. It does not log you out automatically.

help What if I press the back button on my phone?

The system will show an "End Session?" warning when you press the browser back button. This is to prevent you from accidentally losing your work. If you want to continue filling out the form, simply close the warning and continue.

help A required field is highlighted red. What do I do?

Red fields mean a required answer is missing or incorrectly formatted. Read the error message below the field (shown in red text), fix the input, and click Next again. All red fields must be resolved before you can proceed.

help The dropdown is empty / not loading?

This usually means the system is still loading data. Wait a few seconds and try again. Make sure you have a stable internet connection. If the problem continues, try refreshing the page (note: refreshing will clear the current session).

help Can I profile the same beneficiary twice?

The system will create a new record each time a form is submitted. Please coordinate with your supervisor to avoid duplicate submissions for the same beneficiary.
